Ethical sourcing policy

1. Purpose

OMS Group (UKI) Limited (“OMS Group”) is committed to conducting business with integrity, transparency, and respect for human rights. This Ethical Sourcing Policy establishes the standards expected of all suppliers, subcontractors, partners, and service providers working with OMS Group.

The purpose of this policy is to ensure that all goods and services procured by OMS Group are sourced responsibly, ethically, and in compliance with applicable laws, industry regulations, and recognised best practices.

This policy supports OMS Group’s broader commitment to responsible business operations across its facilities management services, including security, cleaning, maintenance, waste management, and recruitment services.


2. Scope

This policy applies to:

  • All suppliers and subcontractors engaged by OMS Group

  • Labour providers and recruitment partners

  • Contractors providing goods or services

  • Consultants, agents, and business partners

  • Any organisation within the OMS Group supply chain

Suppliers are expected to apply the same ethical standards within their own supply chains.


Suppliers must comply with all applicable laws and regulations within the jurisdictions in which they operate, including but not limited to:

  • UK Modern Slavery Act 2015

  • Bribery Act 2010

  • Equality Act 2010

  • Health and Safety at Work etc. Act 1974

  • Environmental Protection Act 1990

  • Data Protection Act 2018 and UK GDPR

Suppliers must maintain appropriate policies and procedures to demonstrate compliance.


4. Human Rights and Labour Standards

OMS Group is committed to protecting fundamental human rights within its supply chain.

Suppliers must ensure:

4.1 No Forced or Compulsory Labour

Suppliers must not use forced labour, bonded labour, involuntary prison labour, or human trafficking in any form.

4.2 No Child Labour

Suppliers must not employ individuals below the legal working age as defined by applicable legislation.

4.3 Fair Wages and Working Hours

Employees must receive wages and benefits that meet or exceed the legal minimum standards and must comply with working time regulations.

4.4 Freedom of Association

Workers must be free to associate, organise, and collectively bargain in accordance with local laws.

4.5 Non-Discrimination

Suppliers must provide equal employment opportunities without discrimination based on:

  • Age

  • Disability

  • Gender or gender reassignment

  • Race or ethnicity

  • Religion or belief

  • Sexual orientation

  • Marital or civil partnership status


5. Health and Safety

Suppliers must provide a safe and healthy working environment for employees and contractors.

This includes:

  • Compliance with relevant health and safety legislation

  • Appropriate risk assessments and safe systems of work

  • Adequate training and supervision

  • Provision of suitable personal protective equipment (PPE)

  • Incident reporting and investigation procedures

Suppliers providing operational services must ensure their personnel are appropriately trained, qualified, and competent.


6. Environmental Responsibility

OMS Group encourages suppliers to operate in an environmentally responsible manner.

Suppliers should:

  • Comply with environmental laws and regulations

  • Reduce environmental impact where possible

  • Promote responsible waste management and recycling

  • Minimise pollution and resource consumption

  • Implement environmental management practices where appropriate

Suppliers involved in waste services must hold appropriate registrations such as Environment Agency Waste Carrier licences where applicable.


7. Ethical Business Conduct

7.1 Anti-Bribery and Corruption

Suppliers must operate with honesty and integrity and must not engage in bribery, corruption, facilitation payments, or unethical inducements.

7.2 Conflicts of Interest

Suppliers must disclose any situation that may create a conflict of interest in their dealings with OMS Group.

7.3 Fair Competition

Suppliers must compete fairly and comply with competition and anti-trust laws.

7.4 Gifts and Hospitality

Suppliers must not offer gifts, hospitality, or incentives intended to improperly influence business decisions.


8. Data Protection and Confidentiality

Suppliers must protect any confidential information received from OMS Group and comply with all applicable data protection laws.

This includes:

  • Secure handling of personal data

  • Appropriate information security measures

  • Compliance with UK GDPR where applicable


9. Supplier Due Diligence

OMS Group may conduct due diligence and compliance checks on suppliers as part of its procurement process.

This may include verification of:

  • Legal registration and company status

  • Insurance coverage

  • Health and safety policies

  • Ethical labour practices

  • Environmental compliance

  • Professional accreditations and licences

Suppliers may be required to provide supporting documentation upon request.


10. Reporting Concerns

Suppliers are encouraged to report any unethical behaviour, breaches of this policy, or illegal activities related to OMS Group operations.

Reports may be made confidentially to:

Concerns will be treated seriously and investigated appropriately.


11. Non-Compliance

Failure to comply with this policy may result in corrective actions, including:

  • Requests for remediation

  • Suspension of supplier activities

  • Termination of contracts

  • Removal from approved supplier lists


12. Continuous Improvement

OMS Group is committed to continuously improving ethical sourcing standards within its supply chain.

Suppliers are encouraged to adopt responsible business practices and collaborate with OMS Group in developing sustainable, ethical, and transparent supply chains.


13. Policy Review

This policy will be reviewed periodically to ensure ongoing alignment with legal requirements, industry standards, and organisational commitments.
